Website Inquiries and Measurement
A demo request may include your name, company, phone, email, employee count, industry and selected business challenge. The request is delivered to the TimeClock 365 team through Formspree and the Nicole system.
The landing page, referrer and campaign parameters such as UTM values or GCLID may accompany the request for attribution and measurement. Google Tag Manager is used with advertising and analytics storage denied by default until a visitor makes a choice in the preferences banner.
Local or session storage may remember the consent choice, campaign source, landing page and a call-to-action experiment variant. Cookie settings can be reopened from the bottom of the site.
1. Data We Collect
TimeClock 365 collects the following data to provide attendance and workforce management services:
- Employee data — name, employee ID, department, work schedule
- Attendance records — clock-in/clock-out times, location (if GPS enabled), device used
- Biometric templates — mathematical representations of fingerprints or facial geometry (never stored as images)
- Access control events — door entry/exit records (if access control is enabled)
- Account data — company name, contact details, billing information
2. How We Use Your Data
- Providing attendance tracking and reporting
- Calculating work hours, overtime, and absences
- Generating reports for payroll integration
- Sending alerts and notifications configured by the account administrator
- System security and fraud prevention
3. Data Security
TimeClock 365 is ISO 27001 certified. Our security measures include:
- AES-256 encryption for data at rest
- TLS 1.3 encryption for data in transit
- Role-based access controls
- Regular penetration testing
- Full audit logging of all data access
4. Biometric Data
Biometric data is handled with the highest level of protection:
- Fingerprint and facial data is converted to an irreversible mathematical template at enrollment
- The original biometric image is never stored
- Biometric templates are encrypted with AES-256
- Biometric data is never shared with third parties
- Employees can request deletion of their biometric data at any time
5. Data Retention
Attendance records are retained for the duration of your subscription plus a 90-day grace period after cancellation. After this period, all data is permanently deleted. You can request a full data export at any time.
6. Third-Party Integrations
TimeClock 365 integrates with payroll systems (Hilan, Priority, SAP) and productivity tools (Microsoft Teams, Slack, Google Workspace). Data shared with these integrations is limited to what is necessary for the integration to function, and is governed by each provider's privacy policy.
7. GDPR & International Compliance
TimeClock 365 complies with GDPR for European data subjects. For international operations, we follow applicable local data protection laws in each jurisdiction. We operate in 20+ countries.
